Reports to: Program Director – Love Revolution, Director of Operations and Assistant to the Bishop for Vocations and Leadership/Mission Advancement

Overview

Southeastern Pennsylvania Synod (SEPA) a member of the Evangelical Lutheran Church in America is seeking a collaborative, detailed-oriented individual to serve as Grant Administrator/Administrative Assistant for three primary areas: Love Revolution – 5 year grant funded through Lilly Endowment Inc. that helps SEPA Synod congregations evolve from an institutional church built on programs and resources into a missional church build on relationship and service. The person fulfilling this position will be responsible for Love Revolution grant administration, requiring a skilled administrator, effective communicator and being adept at finances. This person will assist the Program Director and team to live out this grant proposal. Vocations and Leadership and Mission Advancement – assists with administrative responsibilities and works closely with associated teams to support congregations and individuals living out their discipleship within SEPA Synod and the ELCA. Such work primarily centers on record keeping and communications for ELCA processes for generosity, candidacy, synod authorized ministry, and pastoral leadership transitions. The Administrative Assistant serves as the initial point of contact with SEPA Synod constituents for general inquiries made by phone, email, and in-person.

Responsibilities

  • Attend related meetings of Love Revolution, Synod staff and Synod Assembly
  • Oversee accounting and record keeping, including grant funds, grant staff expenditures, training, and other expenses related to administering the grant
  • Assist with documentation of the grant funds and expenditures for regular reporting
  • Support grant communications including developing procedures and preparing content for website, social media, and mailings
  • Provide administrative support (including hospitality as needed) for various teams
  • Respond promptly to general inquiries made by phone and email, including forwarding specialized needs to the appropriate department
  • Maintain confidential files for candidates for rostered ministry and for Synod Authorized Ministers (electronically and hard copy)
  • Coordinate the receipt and distribution of mobility profiles for rostered ministers and congregations in transition
  • Update pulpit supply directory quarterly
  • Maintain calendar for fundraising communications
  • Coordinate mailings for fundraising appeals, thank you letters, quarterly statements, and mission support intent forms
  • Coordinate receipt of Forward Together in Faith grant applications and disbursement notifications
  • Other duties as assigned

 

Qualifications and Skills

  • A love for Jesus Christ, the Church, and all God’s people
  • Minimum of 3-5 years as administrative assistant
  • Prior experience in grant administration helpful
  • A willingness to take risks and ability to learn from failures
  • Proven effectiveness at working collaboratively with a team-mindset
  • Sensitivity to the diversity in our synod and willingness to strengthen skills to work effectively with all our diverse groups.
  • Confidentiality required
  • Exceptional administrative, filing, and recordkeeping skills (paper and electronic files/folders) a must.
  • Ability to set up and maintain confidential file-sharing system.
  • Strong organizational skills and attention to detail, with the ability to manage multiple projects and deadlines effectively
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders
  • An understanding of hospitality and the guest-experience at meetings and events
  • Fluency with learning new technology as needed
  • Proficiency with Microsoft Office suite, Google applications, and Dropbox
  • Willingness to learn procedures and language associated with ELCA candidacy and mobility processes
  • Must have own transportation
  • Must be eligible to work in the United States

This is a full-time salaried position, primarily in-person at the synod office (7241 Germantown Ave, Philadelphia, PA) though some remote work is possible on Mondays and Fridays. Occasional overnights and weekends required.
