Position Summary:

The Office Coordinator reports to the Pastor and serves the Pastor and members of St. Paul’s Evangelical Lutheran Church as the primary contact person among congregational members, community members, business affiliates, and all others communicating with or within the congregation.  The Office Coordinator will contribute to a positive working atmosphere in a team-based setting that supports the congregation’s mission. The Office Coordinator will be dealing with private affairs and must maintain confidentiality at all times.

  • Proficient in using a computer and Microsoft Office (Publisher, Word, Excel) and web-based communication.

  • High School Diploma or Equivalent
  • Must be able to constantly operate a computer and other office productivity machinery, such as a calculator, copy machine and computer printer.

Responsibilities:

The primary responsibility is to efficiently and confidentially oversee and manage the office and day to day operations at St. Paul’s Evangelical Lutheran Church.

Daily:

  • Keep an accurate calendar of all activities relating to church life and provide users with our building use policy, arrange security as needed, invoice vendor, ensure collection of payment and provide receipt for events.
  • Order supplies such as paper goods, office supplies, cleaning supplies, forms, letterheads, envelopes, workshop bulletins, etc. (must stay within office supply budget)
  • Assist Pastor as needed with administrative tasks, including typing and copying materials as requested
  • Handle incoming telephone calls promptly and courteously
  • Sort and deliver incoming mail and packages
  • Greet people as they enter the church office and monitor who is in the building
  • Serve as the general information center for the entire church
  • Prepare as needed any funeral or wedding bulletins
  • Maintain and update Church records: births, deaths, address changes, baptisms, confirmation, marriages, funerals, etc. to ensure the rolls are current.
  • Work with Property Committee to ensure housekeeping and other contractors, such as landscaper, etc.  can access the building and schedule any necessary service calls for office equipment
  • Other duties as assigned by the Pastor

Weekly:

  1. Arrange and attend weekly staff meetings with the Pastor or other meetings as requested
  2. Prepare for Sunday Worship by printing weekly worship bulletins using congregational and denominational resources and make they available for volunteers to fold on Friday
  3. Ensure website is updated with current information
  4. Submit security personnel hours to Treasurer for payment
  5. Serve as primary point of contact for the St. Paul’s Food Pantry and work with the Food Pantry Coordinator to distribute bags, maintain client records and assist with ordering as needed.

Monthly:

  1. Prepare newsletter in Paper and Electronic Format: Compile, type, print, and mail/email monthly.
  2. Ensure St. Paul’s website is kept up to date with current events, website design and upkeep.
  3. Update Church Facebook or other social media accounts.

Annually

  1. Prepare Annual Congregation Meeting booklet for early in February.  Involves obtaining reports    from all committees and coordinating and collating information for booklet production.

 Work Hours:

This is a part-time position, approximately 15 hours; Monday (9 a.m.-1 p.m.), Wednesday (9 a.m.-4 p.m.) and Friday (9 a.m.-1 p.m.) with additional hours during Church holidays such as Easter and Christmas.

 Compensation & Benefits:

Employment will be subject to 90-day probation period.  Compensation for this position will be commensurate with education and experience. Position includes 10  paid vacation days and 5 paid sick days earned after completion of probation period.  Employee will be paid for any Federal holiday that falls on a regularly scheduled working day.  Termination by employee will require 30-day written notice to the Pastor.
